Tuesday Tips: Sending Text Messages from Your Phone

If you need to text your contacts or a specific group on your contact list and are not by a computer, no worries! You can also send a group text message from your phone.

First, make sure that your phone is an authorized phone number to send a text from phone. You can see this under My Account–>Text from Phone.

If you’d like to send a message to everyone, you can do so by texting:  #all and your message to 292929.

If you’d like to send a message to a specific keyword, you can send to a specific group by texting: #account keyword.group keyword and your message to 292929.

Tuesday Tips: Viewing Messenger Activity

If you have messenger users as a part of your group calling account, we’d like to share some tips for managing messenger details.

If you have not set up messengers, these users are simply “sub-accounts” with their own login information. Messengers are great for various users in organizations such as Sunday School teachers for churches, coaches for sports teams, teachers for schools, or even recruiters for staffing companies. Don’t worry, this feature is already included in your service!

Monitoring Messenger Activity

To monitor messenger usage or to see who created a particular broadcast, go to Reports–>Messenger Activity. Note: You will need to be logged into the master account to view these.

Here you will see all the messengers listed for your account. Click on the messenger’s name to view a detailed report.

Tuesday Tips: Monthly Plan on Hold

If you are in an organization that is currently using the monthly plan and do not broadcast automated  messages over the summer, you can put your plan on hold.

You can do this by going to My Account.

Select Put Subscription on Hold under Monthly Subscription on the right of the page.

You can also set a specific date to reactivate.  That way, you can make calls whenever your season starts and will not need to reactivate your subscription. It’s one less thing to mark off your long To-Do list at the beginning of the season!

Press Submit once you’re done!

 

Tuesday Tips: Opting Out Numbers

Do you have a phone number on your contact list that would prefer not be contacted anymore?  This is a great feature if someone’s number has changed, would prefer to only receive text and not voice messages, or is no longer a member of your organization.

You can do this by going to Reports–>Opt Out Report.

On the Opt Out page, press +Add, then this dialogue box will appear. You’ll add the number and select which type of communication they’d like to opt out from.  Click Add once you’re done!

Self Opt-Out

The recipient can also opt out of automated calls themselves on the website by going to call-em-all.com and selecting Opt Out under Useful Tools at the bottom of the page. As a reminder, if someone does not want to receive text messages from you, they can always reply to a message with the word STOP or CANCEL.

Opt Numbers Back In

Did someone accidentally opt out of receiving calls from you? You can add them back with their written permission from the opt out list.

Click on the number on the opt out list to opt them back in.

If you have written permission to call the number and if calling it will not violate Call-Em-All’s responsible use policy, then click the two checkboxes and select Remove!

Voila! The number is back on your list!

Tuesday Tips: Managing Inbound Response

Did you know that Call-Em-All broadcasts 2500 calls per minute? Since most numbers are called within seconds, responses can be overwhelming. Hearing from your recipients can be a good thing, but sometimes you may want a little more manageable response rate.

You can slow down the call speed by going to My Account–>Update under Preferences.

Then, you can adjust your call speed as needed!

If you are launching a broadcast from the phone, it’s pretty simple. However, here is what you need to know to send a message to a specific group.

You’ll want to make sure you’re calling 866-623-7525, and you’ll enter in your User ID and PIN that you use to log into the website.

Instead of pressing 1 to send to everyone, you’ll press 2 to send it to a specific group. Then, you’ll enter in the List ID number of the group.

You’ll need to know the List ID of the group that you’ll be calling ahead of time. You can find this in your Contact list by dragging your mouse over the group name.

You’ll see it above the list of names & numbers as well:

Then, record your message, and press 1 to accept it!

To resend a broadcast to the same group of people with the same message, here is a shortcut!

1. Click on the broadcast name under Completed Broadcasts on your homepage.

2. At the broadcast details page, select “Create a New Broadcast” above the list of names & numbers.

3. This will create a new broadcast. Step 2 will auto-populate the names and numbers.

4. To use the same voice message, you can do this in step 4. Choose “Select from Audio Library.”

Tuesday Tips: Editing Broadcasts

If you’ve already scheduled a broadcast to go out and need to edit a few details, it’s easy!

To edit a time for a broadcast that hasn’t started, you will click on the broadcast name on the home page. This will take you to the broadcast details button where you can press the edit button on the left side of the page.

From there, you can change the Caller ID that is displayed when your recipient receives the call, the broadcast name, and the day and time the broadcast is sent.

If you need to add a number, you can do so by clicking +Add a Phone Number above the names and numbers.

It’s important to note that if you’ve already recorded the audio for the broadcast and need to change the audio, you will need to create a new broadcast since the audio is already written into the database.

Tuesday Tips: Database Cleanup with Call-Em-All

We know it’s frustrating to spend time and resources calling people whose numbers have changed. If you’re wanting to clean up your database and get rid of those invalid numbers, we recommend sending a broadcast to all numbers listed in your database.

Whether you’re a girl scout troop calling for meeting times, doctor’s office sending vaccine reminders, or non-profit calling those who need assistance, many of our organizations are sending an automated call to the effect of:

“This is Smithville Family Practice updating our records. If you’d prefer to be contacted at a different number or would no longer like to receive notifications, call 877-226-3080.”

1. After completing your broadcast, you will click on the broadcast name from the home page.

2. Then click on the “Invalid Numbers” tab on the broadcast details page.

3. Then, click “Delete from Contacts.” Pretty simple, right?

4. If you want to export this data for external use, simply click “Download to CSV” to generate a spreadsheet.

It’s important to note that you are not charged for invalid numbers. If you are on the Pay-As-You-Go plan, those credits will drop back into your account after the broadcast has completed.
